Job Functions

The role of an administrative professional is to:

Develop and maintain effective communications inside the team (with the office manager, farm managers, real estate agents, rural appraisers, and other administrative assistants) and outside the team (clients, prospective clients, and tenants)

Provide administrative support to organize, arrange, and retrieve information, data and documents (electronic and physical) in a cooperative and timely manner to carry out daily business process including but not limited to:

Letters and Reports
Crop Plats
Maps and Photos
Government Reporting
Farm Information
Invoices and Accounting Statements
Transmittal Processing
Crop Insurance and Data Proofing
Client, tenant, vendor, company, and other correspondence
Provide support and coordination of:
Meetings, conferences, client visits
New business seminars
Work on special and unusual projects as needed and requested and perform other duties as assigned
Stay current on how to utilize technology used by the company to carry out daily business

Principle Objectives and Outcomes

Typing, proofing, preparing and packaging professional and general correspondence using word processing, spreadsheets, and other software tools
Letters, reports, charts and tables, maps, and other items sent to clients and prospects
Memos, business plans, training materials
Responsible for accuracy, spelling, grammar, and professional look
Works as a team to develop, maintain and enhance the filing system for the office using physical paper and electronic means for organizing, storing, retrieving, and managing information
Within the office team and across the company according to directions and standards of the office and company

Works independently and within a team on special nonrecurring and ongoing projects. At the request of the office manager and company, these projects may include but are not limited to:

Disseminating information
Business process improvement
Organizes and sorts mail
Stay up to date with current versions of software including but not limited to:
Microsoft Office – Word, Excel, PowerPoint
Microsoft Outlook
Web browsing and search engines
Mapping tools
Learn and understand what is needed day-to-day to support farm managers in order to be part of a harmonious​ team that builds trust and provides great service

Qualifications/Skills and Knowledge Requirements

Extensive knowledge of business and an excellent command of the English language
Knowledge of office administrative procedures and knowledge of use and operation of standard office equipment at a level generally acquired through 1 + years related experience
Knowledge of a variety of computer software applications in word processing, spreadsheets, database and presentation software
High level of interpersonal skills to handle sensitive and confidential situations. Position requires demonstrated poise, tact, and diplomacy
Some analytical ability is required in order to gather and summarize data for reports, find solutions to various administrative problems, and prioritize work
Continual attention to detail in composing, typing and proofing materials, establishing priorities and meeting deadlines

Physical Demands

While performing the duties of this job, the employee is regularly required to talk or hear. This position will require the ability to lift documents, bend, sit and/or stand as necessary.

This is a full-time position requiring a minimum of 40 hours per week, Monday through Friday from 8:00 a.m. to 5:00 p.m. (one hour for lunch) with overtime required as needed.
